Four tools, one login — and no spreadsheet exports

Tasks with a real timer, AI-assisted daily planning, CRM with proposals and e-signature, email campaigns and ISO 9001 document control. Since everything lives in the same database, data doesn't need to be exported to be used.

One detail that changes the conversation: ScWork is the system Sistemas CORDON uses to do its own work. The campaigns you receive from us are sent from it, our help desk syncs with it and our team's daily plan is built in it. It's not shelfware.

Who it's for

Service companies that sell time

Software houses, software resellers, support and infrastructure companies, consulting firms and agencies. From 5 to 60 people. If more than one of these signs shows up in your company, it's worth a conversation:

  • You bill by the hour, by contract or by ticket — and don't know how many hours were actually worked.
  • You use Trello or a spreadsheet for tasks, another tool for tickets and a third one for sales.
  • Customers drift away without anyone noticing.
  • The manager spends the first hour of the day working out who does what.
  • You need to maintain ISO 9001 and your procedures are scattered across Word files.

What it does differently

Seven things we haven't seen anywhere else

This isn't a feature list — it's what makes someone switch tools.

01 · Time

The timer that doesn't lie

Trello and Asana don't track time. Monday and Runrun.it do — but they record whatever the person reports. Here, tracking follows real activity: a one-hour warning with a countdown, periodic checks outside business hours and recording only up to the last genuine activity.

The Time Map shows the day in 288 five-minute blocks — and even flags two tasks being timed at the same time.

“How many 40-hour weekend sessions have already made it into your timesheet report?”

02 · Planning

The daily schedule builds itself — and explains why

At 6:30 a.m., Monday through Friday, the system distributes the backlog among the technicians using the rules the manager wrote, plain-language variables and an AI score, respecting department, minimum and maximum load per person.

Each item comes with the reasoning behind the decision, and each run logs a before and after. There's a preview mode that saves nothing, so you can test a rule risk-free.

It's not a black box: the manager stays in charge — the system just takes the first hour of the day off their plate. And since August 2026, it also checks each person's Google Calendar before assigning work.

02b · Calendar

Who has the lightest day on the due date?

That's the question managers answer by guesswork, and the system answers with numbers. When you schedule a task, it adds up each technician's workload for that specific date: the hours of tasks already scheduled, based on each one's estimate, plus their Google Calendar events — including all-day events, which bring the person's availability down to zero.

Each person connects their own calendar: authorization is individual, not company-wide. Without that, the system would only see half the day.

It works both ways: what's scheduled here shows up in Google, and later changes are updated there. Cancel the task and the event disappears from the calendar. It's not a copy that goes stale.

  • The system suggests the technician with the lightest load on that date — and shows their day item by item, tasks and events, so you can agree or swap.
  • Meetings and tasks are created in Google with location and notes, and change together.
  • Background sync, with nobody pressing a button.
  • Each user connects and disconnects their own account whenever they want.

A note on privacy, because it's only fair: the integration requests read and write access to the calendar of whoever connects. That's needed to create and cancel events — but it means the decision to connect should be the person's own, with the company explaining why. The system never connects anyone on its own.

Each person connects their calendar

Individual authorization through Google, with the option to choose which calendar to use.

2

The system adds up the day's load

Hours of tasks already scheduled plus Google events, per technician.

3

It suggests the least busy and shows why

Each person's day appears item by item. The system suggests; you have the final say.

4

The event lives on both sides

Created, changed and canceled together — no outdated copies.

03 · Sales

Your campaign audience is a live query on the pipeline

With RD Station + Mailchimp, a campaign list gets older every day. Here you ask the database: who is in stage X, of product Y, doesn't use Z, has an overdue invoice and hasn't yet received campaign 3. No spreadsheet exports, no outdated lists — and no per-contact fees, because emails go out through your own SMTP account.

  • Hourly sending cap and automatic suppression of bounced emails.
  • One-click unsubscribe, to the standard email providers require.
  • Delivery screen showing the reason for each failed delivery.

04 · Meetings

Meetings become minutes with names, and minutes become tasks

The recording comes with one audio track per participant — so the minutes name people without the AI guessing. On a single screen: the transcript, the timeline split by speaker, the step to name each speaker, the minutes with summary, topics and decisions, and the action items with a “make it a subtask” button.

Exports to PDF in three formats. And it all stays on your server: no meeting goes to a third-party cloud. The heavy recording is deleted after 90 days; the knowledge stays.

05 · Retention

A churn radar built into the routine

Every day, the “Daily Rescue” cross-checks the CRM, finance's active customer list and the last help desk activity, and delivers three customers with their phone number and how many days they've gone without contact — flagging those who have already left and removing anyone already scheduled today.

“How many customers did you lose last year without ever getting an alert?”

Train the AI screen: a resolved ticket, with what was requested, the solution written by support and buttons to send it to the AI or skip
Train the AI · the case becomes a rule
06 · Knowledge

The AI learns from the tickets your team has already solved

Every support team has the same problem: what solves the hard case lives in the heads of two or three people. Here, a closed ticket — and the WhatsApp conversation that started it — becomes training material. The AI drafts the rule from the case, and someone on the team reviews it before it takes effect.

The AI prepares. People answer.

That's how we use it at Sistemas CORDON: what the AI has learned becomes a suggestion for the agent — not an automatic reply to the customer. The person reads it, adjusts it and replies. Customer service stays human from start to finish.

  • You decide what it learns. Tickets closed without a written solution ("resolved via WhatsApp") are discarded automatically.
  • The screen shows who replied and what the AI based its answer on — so you can disagree before publishing the rule.
  • The AI queries the system and builds the screenshot, so the agent can send the image instead of describing where to click.
  • Batch training, when there's accumulated history.

Workplace safety

NR-1: the risk inventory and the PGR, without paying a consultant to build spreadsheets

This Brazilian standard now also requires managing psychosocial risks — and that reached companies that had never thought about it. The module builds the inventory by activity, stores the action plan for each risk and generates the PGR (risk management program) in PDF.

  • Risk inventory by activity, classified by level, with who is exposed and what to do.
  • PGR in PDF generated from the inventory — the document the inspector asks for.
  • Notices with read acknowledgment: employees confirm they've read them, and it's recorded.
  • Compliance board, with forms and statements in PDF and reminders of what's about to expire.

An honest caveat: the system organizes, calculates and documents — but the inventory must be validated and signed by a qualified technical professional. The tool doesn't replace the safety engineer or technician, and the screen itself says so.

Start with the biggest pain point

You don't have to switch everything at once. Pick one module, run it for a month and decide with data in hand. No lock-in contract and no cancellation fee.
